How can I use AI in my business?

By TechGuyver · Updated

Short answer

Start with the work you repeat every week: email replies, first drafts, meeting notes, customer questions and simple research. Hand one of those to ChatGPT, Claude or Gemini this week, check its work, and only add the next job once the first one saves you real time.

The mistake I see most: people try to “add AI to the business” all at once. It never sticks. What sticks is one boring job, handed off, every week.

The 5 jobs AI already does well

Job What you hand it What you get back
Email The email you got + 2 lines on what you want to say A reply in your tone, ready to edit
First drafts Bullet points A post, proposal, product page or job ad
Meeting notes A recording or transcript Summary, decisions, who does what
Customer questions Your FAQ, policies and past answers Draft answers your team checks
Research A question and what you already know A short brief with sources to check

A controlled MIT study of 453 professionals found that people using ChatGPT on writing tasks finished 40% faster and their work was rated 18% better (MIT News). Writing is the easiest place to start because you can judge the result in seconds.

How to pick your first job

Look at last week. Find the task that:

  1. You did at least three times
  2. Follows the same pattern every time
  3. You can check quickly when it comes back

That is your first handoff. Not the most exciting job. The most repeated one.

Give it context, not just a command

“Write a reply to this customer” gets you something generic. This gets you something usable:

Here are three replies I wrote to customers last month. Match this tone. Here is the new email. I want to say yes to the refund but offer store credit first.

Examples beat instructions. Paste in your best past work and AI copies the pattern.

Then connect the tools you already pay for

Once one job works, the next step is wiring. Claude, ChatGPT and Gemini can now read your email, calendar and documents when you connect them. One ask can then run five steps: find the thread, read the attached quote, draft the reply, and add the follow-up to your calendar.

That is where the real hours come back. It is also where most people get stuck, which is why I teach it step by step in the membership.

What not to hand off yet

Anything you cannot check: legal advice, tax filings, medical claims, final numbers in a contract. AI is a fast first draft, not the last word. Read what not to tell ChatGPT before you paste in customer data.

How is AI used in business?

Most small businesses use AI for writing (emails, posts, proposals), summarizing (calls, documents, inboxes), customer support answers, research, and turning messy notes into clean plans. Bigger companies add data analysis and automation that connects tools together.

What is the easiest way to start using AI in a small business?

Pick one task you did three times last week, open a free AI chat app, paste in an example of how you like it done, and ask for the next one in that style. One task, one tool, one week.

Do I need to know how to code to use AI in my business?

No. Every job on this page works by typing plain English into a chat app. Code only matters later, if you want AI to run steps on its own without you pressing a button.
