How do I get started with AI automation as a beginner?
Every automation has the same shape: when this happens, do that. Write that sentence for one task you do the same way every day, like 'when a booking form comes in, create a calendar event and text the customer.' Build it in a no-code tool such as Zapier or Make, or describe the sentence to an AI that drafts the steps for you. Test it on one real case before you trust it.
You don’t need to code to automate your business. You need one sentence.
The one-sentence method
Every automation has the same shape: when this happens, do that.
- When someone fills out my form, add a row to my spreadsheet
- When a booking comes in, create a calendar event
- When an invoice is paid, email the client the onboarding pack
Write the sentence first. The tool follows it.
Worked example: booking form to calendar
A cleaning business owner copies booking requests from the website into the calendar every night. The sentence: when a booking form comes in, create a calendar event.
In Zapier that is a Zap with two steps: the trigger (Google Forms or Typeform, new response) and one action (Google Calendar, create event). Map the form’s date, time and address fields to the event’s start, end and location.
Zapier’s free plan covers exactly this. As of zapier.com/pricing, checked Oct 31, 2026, Free gives 100 tasks a month, allows only two-step Zaps, and checks for new entries every 15 minutes. The paid Professional plan starts at $19.99 a month billed yearly ($29.99 monthly) for 750 tasks. Confirm there, because plans change. Make is the alternative; read its free-plan limits on its page.
Adding a third step, a text to the customer, moves you to a paid plan on Zapier.
Decision: what the free plan can carry
| Your volume and shape | Choose |
|---|---|
| Under 100 bookings a month, one action each | Free (each action counts as a task) |
| One trigger but two or more actions (calendar and text) | Paid |
| Over 100 runs a month | Paid, sized to your monthly count |
| Customers expect an answer in under 15 minutes | Paid, or a tool with instant triggers |
Where AI fits in
Plain automation moves data as it is. An AI step reads or writes along the way. A sample prompt for a lead-sorting step:
Read this enquiry. Reply with one line: HOT if it names a date or budget, COLD if not, then the reason in under 12 words. Enquiry: “Hi, we need an office cleaned weekly from Nov 4, budget around $400 a month.”
Sample result: HOT: names start date Nov 4 and a $400 monthly budget.
How it goes wrong
- Duplicates or missed runs. A trigger fires twice, or a renamed form field stops mapping. Check the Zap’s run history the first week, and after you edit the form.
- Wrong time zone. The event lands three hours off. Test one booking and read the calendar entry, not just the green tick.
- The AI step guesses. A lead-sorting step mislabels a vague enquiry. Keep a human on anything that sends to a customer.
- Customer data in a tool you have not read up on. Check what the tool stores, and keep to what not to paste into AI.
If you cannot say the job in one sentence, fix the process first.
Where to go next
Write your one sentence today and build it this week. Once it runs on its own for a week, AI agents for beginners shows how to let AI do several steps in a row, with the access ladder that keeps it safe. People also ask
Do I need to code to automate my business?
No. Tools like Zapier and Make connect your apps with menus, not code, and most now let you describe the automation in plain English and build the steps for you. What you need is one clear sentence: when this happens, do that.
What should my first automation be?
A task you do the same way every day or every time something arrives: copying form entries into a spreadsheet, adding bookings to your calendar, sending the same confirmation email. If you can describe it in one sentence, it is a good first one.
What is the difference between automation and AI automation?
Plain automation moves information from one app to another exactly as it is. AI automation adds a step that reads or writes, like summarizing each new lead, sorting emails by urgency or drafting a reply before it reaches you.
